Payment terms are no fun, but they don’t have to be scary! I aim to make your experience as stress free as possible – and that means no surprises or hidden fees! It’s important to me that you are comfortable with your investment and the process is fully transparent and easy to follow.

Reserving a Session Date

To hold a session date, clients must sign a contract agreement online and submit a 50% initial payment for your session. Please make all checks payable to ‘Ashia Ray.’ Initial payments are non-refundable. Please click here to read more about cancellations & rescheduling policies.

The remaining balance of your session is due three days before your session, and is invoiced five days before shooting begins, unless otherwise requested.

If you prefer to avoid the added task of making a payment on the week of your session, you may opt to include a check for the full payment instead of the 50% initial payment, just let me know what you’d prefer. In the event of a session cancellation, your payment would be deposited and a refund for the session less the 50% initial payment would be issued back to you.

Flexible start times are available for clients with hard-to-predict schedules (handy for babies who still require a morning nap) and a late-start of up to 1 hour is complimentary with your session. Late start times in excess of 1 hour will be charged an additional $25 per hour, billed by the quarter hour, to cover the cost of last-minute extended childcare for my own little ones and will be due before your session begins.

Your First View & Order Session

Now to the fun part! About 4-5 weeks after your session, your proofs will be ready for your first viewing. Please make sure all decision makers attend as this is when you will figuring out what images and items you love and you’ll be making your orders – feel free to make it a party!

In the convenience of your home, you and your friends and family will sit back and watch a slideshow of your images (popcorn optional). I’ll guide you through the selection process (which takes hours, days, and sometimes weeks without help), give you advice on how to pick the right size portraits for your walls, and help you design heirloom albums to enjoy forever.

All the orders you make during your order session are eligible for a limited-time discount that expires when our party ends. Payment is due in full at the time of your order.

Wall Presentations

If an order for a wall presentation has not yet been submitted to vendors for printing and you change your mind, the cost can be transferred to an alternative product. Refunds and transfers are not available for items that have already been submitted  to the printer for production.

Shipping & handling is free for all wall presentations up to 30×40″ ordered during your Order Consultation.


Albums and designer products include two revisions for your review before I submit final edits to my labs. If you change your mind on the design and further revisions are required, an extended-design fee of $200 per revision is due before each additional revision is made to account for the additional work required for editing.

Because designing albums is a time-intensive process, if you change your mind on an album after I have spent 10 or more hours on the design or design elements have already been outsourced to my illustrators and painters, the cost cannot be transferred to an alternative product.

Shipping & handling is free for all album orders placed during your Order Consultation.

Income & Sales Tax

As a professional photographer, I pay income tax for all revenue generated by Ashia Ray Photography in accordance with Massachusetts state and USA federal laws.

In Massachusetts, tangible items delivered as a product of a service are subject to a sales tax of 6.25%. This means USB keys for delivering digital files and the cost of the files themselves, prints, gifts and albums are all subject to sales tax. To reduce the cost to you, I offer the option of Dropbox downloads for digital files and itemize hourly session fees, editing, consultations and design services separately from delivered items, which means unless otherwise requested, services and digital files are not subject to sales tax.

Additional Fees

Travel time, expenses and parking are complimentary with your session.

Because the session location is ultimately up to you, I cannot take responsibility for public permits, location fees, or admission charges for access to your requested session location. These expenses are the responsibility of the client, and I reserve the right to refuse to incur expenses at any time (in other words – if you want pictures in front of the Magic Castle, you’re footing the bill for my flight, hotel, and park admission :)

If I do incur surprise expenses, I will do my best to inform you of them ASAP (such as admission fees to a national park). These expenses will be added to the balance of your session.
